Booth Terms & Conditions
These Terms & Conditions govern the participation of vendors at the
Australian Sikh Games Melbourne 2026 organised by the
AUSTRALIAN SIKH GAMES (VIC) INC A0100070C.
By applying for a booth, you agree to comply with the following terms and conditions.
- Booth Allocation & Availability
- Booths are allocated on a first-come, first-served basis upon receipt of a completed application form and full payment.
- AUSTRALIAN SIKH GAMES (VIC) INC reserve the right to approve or decline applications based on suitability, space limitations, and event requirements.
- Submission of the application form does not guarantee booth allocation until written confirmation is provided.
- If booths are fully booked at the time of application, the vendor will be notified, and any payments made will be refunded.
- Spaces are limited and will be allocated at the absolute discretion of AUSTRALIAN SIKH GAMES (VIC) INC.
- Payment, Refund Policy and Bond
- Full payment and a $1000 refundable bond must be made within 7 days of your application being approved by AUSTRALIAN SIKH GAMES (VIC) INC to secure the booth.
- The bond will be refunded within 14 days after the event, provided the vendor complies with all terms, including waste disposal, booth cleanliness, and adherence to event guidelines.
- The bond may be withheld partially or in full if:
- The vendor fails to clean their area after pack-up.
- There is damage to event property or venue facilities.
- The vendor violates any terms outlined in this agreement.
- Failure to make full payment, including the bond, by the due date may result in cancellation of the booking without notice.
- Cancellation
- Cancellation by Vendor: Vendor may cancel the booking with a minimum of three (3) calendar months notice before the event to AUSTRALIAN SIKH GAMES (VIC) INC, and payment will be refunded in full within 14 days. Where a cancellation is notified less than three (3) months before the event, payment will only be refunded where AUSTRALIAN SIKH GAMES (VIC) INC is able to re-let the space. Should any vendor’s site remain unoccupied, AUSTRALIAN SIKH GAMES (VIC) INC reserves the right to allocate the unused site to another vendor or use said space in any other manner without any refund being payable.
- Cancellation by AUSTRALIAN SIKH GAMES (VIC) INC: Where, as a result of circumstances beyond our control, AUSTRALIAN SIKH GAMES (VIC) INC cancels the event, payment(s) from the Vendor will be refunded in full, subject to a deduction for any costs incurred as a result of special requirements by the Vendor. Such refunds form the full extent of AUSTRALIAN SIKH GAMES (VIC) INC’s obligation and no compensation will be payable.
- No refunds will be made because of poor weather if the event is held.
- Stall Overhead and Ground Cover The Vendor is responsible for providing adequate ground cover for their site. The site must be returned to its pre-event condition (e.g. no spillages of grease). The Vendor must be self-sufficient and have stall coverings to cope with all weather conditions. AUSTRALIAN SIKH GAMES (VIC) INC is an outdoor event, and we go ahead rain, hail or shine.
- Setup, Operation and Pack Down Vendors may access their site(s) only at the set time given by AUSTRALIAN SIKH GAMES (VIC) INC. If more time is required, arrangements must be made in advance. Vendors are responsible for installing and dismantling their own materials and equipment. Stalls must be maintained in a professional, stylish and clean manner. Packaging must be hidden and not impose on neighbouring vendors. Pathways must remain clear. Pack down must be completed by the set time. No early pack up is permitted.
- Rubbish & Clean Up The Vendor is responsible for the removal of all rubbish from their site. No cleaning of equipment is to take place at the event and no waste liquids such as grease or oil may be disposed of on site.
- Fire and Health & Safety Regulations
- The Vendor agrees to comply with local, city and state laws, ordinances and regulations covering fire, safety, health and other matters.
- All electrical leads must be tagged by a qualified tester (no less than 3 months) and run safely away from patrons and pathways.
- Vendors using gas or electrical appliances must have a suitable fire extinguisher or fire blanket on site.
- Food vendors must hold a valid food handling certificate and comply with local health and safety regulations.
- Vendors must obtain any necessary permits required by the local council.
- Event Conduct
- AUSTRALIAN SIKH GAMES (VIC) INC may at its sole discretion restrict or prevent the display and sale of any items deemed objectionable. Vendors must comply with event staff, security, and emergency personnel.
- All of the Vendor’s equipment and materials must be within their allocated site.
- The sale of alcohol, tobacco, and prohibited items is strictly forbidden.
- No activity may involve anti-social behaviour, discriminatory behaviour, political promotion, or separatist activity including flags. Breach of these conditions may result in revocation of participation without refund.
- Subletting of Space Vendors may not assign, sublet or apportion their allocated site without prior agreement.
- Liability Exclusion AUSTRALIAN SIKH GAMES (VIC) INC will not be liable for loss or damage to Vendor’s property. Vendors indemnify and hold harmless AUSTRALIAN SIKH GAMES (VIC) INC directors, officers, staff, volunteers and contractors from all claims.
- Insurance Vendors must maintain public and product liability insurance of at least $10,000,000 and comply with all statutory obligations. Certificates must be submitted with applications.
- Licenses Vendors are responsible for obtaining proper licenses required to sell their products. Copies must be submitted with the application.
- Product Sales Samples and tastings are encouraged within food safety limits. ‘Organic’ claims must display proof of certification. All produce must be labelled, priced clearly, and fairly priced. On-selling of another’s food product is prohibited unless pre-approved.
- Promotional/Social Media A photo of your setup is required with your application. If selected, you must promote the Games by sharing provided graphics online prior to the event. Images provided or taken may be used for promotion unless otherwise specified.
- Deliveries Vendors are solely responsible for delivery arrangements. AUSTRALIAN SIKH GAMES (VIC) INC accepts no responsibility for deliveries.
- Privacy Policy Information submitted is used only by authorised officers and volunteers, and contracted providers for communication purposes.
- Power and Water Requirements
- Power and water supply are available upon request, subject to availability and charges.
- Vendors must bring their own extension cords, adaptors, and equipment if required.

Food Vendor Terms & Conditions – Victoria
All food vendors must comply with Victorian food safety laws and event requirements. By participating, vendors agree to the following:

Waste Oil Disposal
Used cooking oil must be disposed of only in the designated oil disposal locations provided by the event organisers. Disposal into drains, bins, or open ground is strictly prohibited. -
Environmentally Friendly Serviceware
Vendors must use biodegradable or compostable cutlery, plates, cups, and packaging. Single-use plastic items are not permitted. -
Allergen Information
All food items must be clearly labelled with allergen information, in accordance with Food Standards Australia New Zealand (FSANZ) requirements. Vendors must be able to verbally advise customers of allergens upon request. -
Food Hygiene & Safety
Vendors must maintain high standards of hygiene at all times, including:- Clean food preparation and serving areas
- Proper food storage and temperature control
- Access to hand-washing facilities and sanitisation supplies

Qualified Staff
All food handling must be carried out by trained and certified staff, holding a valid Food Safety Supervisor certification where required under Victorian regulations. -
Compliance & Inspections
Vendors must comply with inspections by local council officers and event officials. Failure to meet requirements may result in immediate corrective action or removal from the event.
